Terms of Service

Last updated: 13 August 2026

These Terms of Service ("Terms") govern your access to and use of Flow ("the Service"), provided by Flow ("we", "us", or "our"). By using the Service, you agree to these Terms.

1. Eligibility and accounts

You must be at least 16 years old, or the minimum age of digital consent in your country, to use Flow. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.

2. Description of the Service

Flow is a web-based inbox triage tool. After you authenticate and connect your Gmail account, Flow reads your unread messages and lets you archive, reply, save, or task them. Optional features include AI-generated drafts and summaries, Notion integration, task-manager forwarding, Google Contacts sync, and Google Calendar sync.

The Service is offered in tiers:

  • Free: one Gmail account, unlimited triage, native tasks and saved knowledge, and task forwarding.
  • Pro: multiple Gmail accounts, AI drafting and summaries, Notion integration, and other advanced features.
  • Teams & More: additional features on our roadmap for teams and power users.

Features and limits are subject to change as the product evolves.

3. Google API authorization

To use Flow, you must grant us access to your Google account via OAuth. The scopes we request are limited to what is necessary to provide the Service, such as reading your Gmail messages, creating drafts, sending messages you explicitly approve, and optionally syncing your Google Contacts and Calendar.

You may revoke our access at any time through your Google Account permissions page or by disconnecting your account in Flow's settings. Revoking access may prevent Flow from functioning.

4. Acceptable use

You agree not to:

  • Use Flow to send spam, harassment, or unlawful content.
  • Reverse engineer, decompile, or attempt to extract the source code of the Service.
  • Abuse the Gmail API or exceed reasonable usage limits.
  • Use automated scripts or bots to access the Service without our permission.
  • Attempt to access another user's account or data.
  • Use the Service in any way that violates applicable laws or regulations.

5. Your data and content

You retain ownership of your emails, tasks, saved knowledge, drafts, and other content. We do not claim ownership over your data. You grant us a limited license to process your data solely as needed to operate the Service.

6. Intellectual property

Flow and its branding, code, designs, and documentation are owned by us and our licensors. These Terms do not grant you any right to use our trademarks, logos, or other intellectual property except as necessary to use the Service.

7. Termination

You may stop using Flow at any time. We may suspend or terminate your access if you violate these Terms or if we discontinue the Service. Upon termination, your right to use Flow ceases immediately.

8. Disclaimers

Flow is provided "as is" and "as available" without warranties of any kind, either express or implied. We do not warrant that the Service will be uninterrupted, error-free, or secure, or that any particular email or draft will be handled correctly.

AI-generated content is a suggestion only. You are responsible for reviewing and approving any draft before it is sent from your Gmail account.

9. Limitation of liability

To the fullest extent permitted by law, we will not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or relating to your use of Flow, even if we have been advised of the possibility of such damages. Our total liability will not exceed the amount you paid us in the 12 months preceding the claim, or £100 if you did not pay.

10. Changes to these Terms

We may update these Terms from time to time. We will post the updated Terms on this page with a revised "Last updated" date. Continued use of the Service after changes means you accept the updated Terms.

11. Governing law

These Terms are governed by the laws of England and Wales. Any disputes arising under these Terms will be subject to the exclusive jurisdiction of the courts of England and Wales.
